Account Deletion Request

Docville Healthcare Pvt. Ltd. provides healthcare professionals and authorized users with the ability to request deletion of their Docville Pro account.

Docville Pro is an internal healthcare application used by authorized healthcare professionals who have been verified and onboarded by Docville Healthcare Pvt. Ltd.

If you no longer wish to use Docville Pro and would like to request deletion of your account, you may submit a deletion request using the email address provided below.


1. How to Request Account Deletion

To request deletion of your Docville Pro account, send an email to:

support@tech.docville.in

Please use the following subject:

To help us verify that the request is being made by the authorized account holder and to prevent unauthorized deletion requests, please provide:

  • Your registered mobile number.
  • Your name as registered with Docville.
  • Your Docville Pro account information, where applicable.
  • The email address associated with your request, where applicable.

Do not include unnecessary patient medical information, clinical notes, prescriptions, treatment information, or other sensitive patient information in the deletion request email.


2. What Happens When You Request Deletion?

When a deletion request is received, Docville will first verify the request and confirm that it was made by or on behalf of the authorized account holder.

Once the request has been verified, the associated Docville Pro account will be deactivated. Deactivation disables account access and prevents the healthcare professional from continuing to use the account while the deletion request is being processed.

Deactivation is an immediate account-access control and is separate from the subsequent deletion of personal account information.

During the deletion process, Docville will review the information associated with the account and determine which information can be deleted and which information must be retained for legitimate healthcare, legal, regulatory, security, or record-keeping purposes.

Where information is no longer required and is eligible for deletion, it will be removed as part of the account deletion process.


3. Account Deactivation During Deletion Processing

After a valid deletion request has been verified, the Docville Pro account will remain inactive while the deletion request is being processed.

During this period:

  • The healthcare professional will not be able to access the Docville Pro account.
  • The account will remain in an inactive state.
  • New login attempts will not provide access to the account.
  • The account will remain unavailable while required data separation and deletion activities are completed.
  • Information that is no longer required will be processed for deletion.

Account deactivation does not mean that the account information has already been permanently deleted. It prevents account access while the deletion process is completed.


4. Healthcare and Patient Records

Docville Pro is a healthcare application. Healthcare professionals may use the application in connection with patient consultations, clinical notes, prescriptions, treatment records, and other healthcare-related activities.

Patient healthcare information and historical clinical records may need to remain available after a healthcare professional stops using Docville Pro.

Such information may be necessary for:

  • Continuity of patient care.
  • Future healthcare consultations.
  • Medical record keeping.
  • Patient safety.
  • Legal requirements.
  • Regulatory requirements.
  • Security and fraud prevention.
  • Dispute resolution.
  • Other legitimate healthcare purposes.

For these reasons, deleting a healthcare professional's Docville Pro account does not necessarily mean that historical patient healthcare records will be deleted.

Retention of required healthcare records does not mean that the healthcare professional's Docville Pro account remains active or accessible.


5. Separation of Personal Account Information from Healthcare Records

During the deletion process, Docville will take reasonable steps to separate the healthcare professional's personal account information from healthcare and patient records that are required to remain available.

Where reasonably possible and appropriate, information that identifies the former healthcare professional may be removed, anonymized, de-identified, or separated from retained historical healthcare records.

This process is intended to allow required healthcare records to remain available for legitimate healthcare and record-keeping purposes without keeping the former healthcare professional's account active.

Where technical or legal requirements require certain links between historical records to remain temporarily or permanently, those links may be retained to the extent reasonably necessary for the applicable healthcare, legal, regulatory, security, or record-keeping purpose.


6. Information That May Be Deleted

Following verification of a deletion request, Docville will review the personal information associated with the Docville Pro account.

Depending on the circumstances and applicable retention requirements, information that is no longer required may include:

  • Personal account profile information.
  • Account authentication information that is no longer required.
  • Account access information that is no longer required.
  • Device or account identifiers that are no longer required.
  • Personal contact information that is no longer required.
  • Other personal account information that is not required to be retained.

Information that is subject to a legitimate retention requirement will not be deleted solely because an account deletion request has been submitted.


7. Account Deletion and Healthcare Record Retention

Account deletion and healthcare record retention are treated as separate processes.

Deleting the healthcare professional's account does not automatically delete patient records, consultation records, clinical notes, prescriptions, treatment records, or other healthcare information that must be retained.

This approach helps ensure that historical healthcare information is not lost when a healthcare professional stops using Docville Pro and that authorized healthcare professionals can continue to access records where necessary for legitimate healthcare purposes.


8. Deletion Processing Period

Account deletion requests are processed after verification of the request and the identity of the account holder.

The deletion process may take up to 90 days from the date the deletion request is verified.

The 90-day processing period may be required to review the account, separate personal account information from retained healthcare records, resolve applicable data dependencies, and complete the deletion of information that is no longer required.

During the processing period, the account will remain inactive and the healthcare professional will not have access to the Docville Pro account.

Where applicable, the processing period may be completed earlier than 90 days if the required verification, separation, and deletion activities have been completed.


9. Completion of the Deletion Request

Once the applicable deletion and data-separation activities have been completed, Docville will delete personal account information that is no longer required to be retained.

Information that must continue to be retained for legitimate healthcare, legal, regulatory, security, or record-keeping purposes may remain in the system.

Retained information will be limited to what is reasonably required for the applicable purpose and, where reasonably possible and appropriate, identifying information relating to the former healthcare professional will be removed, anonymized, or separated from retained records.

Once the deletion process has been completed, Docville may send a confirmation email to the email address associated with the deletion request or account, where applicable.


10. Data Used for Service Improvement and Analytics

Docville may use appropriately protected, aggregated, anonymized, or de-identified information for legitimate purposes such as service improvement, operational analysis, quality improvement, research, and development of healthcare technology.

Such processing is subject to applicable legal and regulatory requirements and appropriate safeguards.

Personal healthcare information is not sold to advertisers or data brokers.


11. Security and Protection of Retained Information

Information retained as part of healthcare, legal, regulatory, security, or record-keeping requirements remains subject to the security and access controls applicable to the Docville platform.

Access to retained healthcare information is limited to authorized users and legitimate operational, healthcare, legal, regulatory, security, or record-keeping purposes.

14. Important Information About Account Deletion

Submitting an account deletion request permanently disables access to the Docville Pro account once the request has been verified and the account has been deactivated.

A deletion request does not authorize the deletion of patient healthcare information or other information that Docville is required or permitted to retain for legitimate healthcare, legal, regulatory, security, or record-keeping purposes.
